What business statements add

Beyond ordinary card and ACH activity, expect analysis service charges, per-item fees, wire transfers with long reference strings, and merchant processor settlements that arrive net of fees. All of them are dated transactions and all belong in the ledger.

Merchant settlements are net, not gross

A card processor deposits sales minus its fees as a single figure. Booking that as revenue understates both income and expense. The settlement row is the deposit; the gross sales and the fee split come from the processor's own report.

Multi-account statements

Business relationships often produce one PDF covering operating, payroll and savings accounts. Each account section is read separately so transfers between them stay traceable rather than being flattened into one list.

What lenders and accountants ask for

Both want the same things, and both want them consistent:

  • Every month in the period with no gaps
  • Closing balances that tie from one month to the next
  • Transfers identified so they are not counted as revenue
  • Fees and interest separated from operating activity
