QuickBooks connects to most banks directly, but the connection only reaches back so far. Anyone doing a catch-up year, taking on a client mid-stream, or working with a bank QuickBooks cannot link to ends up with a folder of PDFs and a For Review queue that will not fill itself.

Uploading to QuickBooks Online
Go to Transactions then Bank transactions, choose Upload from file, select the CSV, pick the account, and map date to Date, description to Description and the signed amount to Amount. QuickBooks then drops the rows into For Review exactly as if they had arrived from a bank feed.
Getting the mapping right
QuickBooks accepts a single signed amount column or separate debit and credit columns. Use the single amount option, since a split mapping is where most double-counting errors originate. Leave the balance column unmapped.
Catch-up bookkeeping workflow
For a year of missing books, work in a fixed order so nothing is imported twice:
- Convert each monthly statement and verify the closing balance
- Import oldest month first, one period per upload
- Categorise and match that month fully before importing the next
- Reconcile against the statement's closing balance before moving on
QuickBooks Desktop
Desktop expects QBO Web Connect files rather than plain CSV. Convert and verify the statement first, then produce a Web Connect file from those checked rows, or use a third-party importer that accepts CSV directly.
