The practical route into QuickBooks
Convert the statement to CSV, then use the QuickBooks bank data import, which accepts a three or four column CSV of date, description and amount. It reaches the same place as a QBO file: transactions sitting in the For Review queue, ready to be matched and categorised.
Three-column versus four-column
QuickBooks accepts either one signed amount column or separate debit and credit columns. The single signed amount export maps to the three-column option, which is the simpler of the two and the one that avoids double-counting mistakes during mapping.
Before you import
A few checks save a long cleanup afterwards:
- Confirm the opening plus the sum of amounts equals the closing balance
- Delete any header row duplicated from a second page
- Make sure the date format matches your QuickBooks company locale
- Import one statement period at a time so a bad file is easy to undo
If you must have a QBO file
Some workflows genuinely require Web Connect. In that case, convert to CSV first for verification, then use a dedicated QBO writer to wrap the verified rows, since a QBO file with unchecked data imports errors just as happily as it imports good rows.
