How to download your PayPal statement as a PDF

Sign in at paypal.com, open Activity then Statements, choose the month, and download the PDF.

Always take the statement file the bank issues rather than printing a transaction list from the browser. The issued statement is the document of record, and it converts more reliably than a printed page.

PayPal quirks to watch for

These are the details that break a copy-paste into Excel, and the reason a PayPal statement rarely lands cleanly on the first try:

  • Gross, fee and net are separate figures, so the net is what actually hits the balance.
  • Multi-currency accounts print a separate balance block per currency.
  • Holds, releases and reversals appear as distinct entries.
  • US statements print dates month first, which is what a US-configured spreadsheet expects.

Check the export before you use it: opening balance plus the sum of the amount column should equal the closing balance printed on your PayPal statement.

Why not just export from PayPal directly?

Use the direct export when it covers the period you need. It rarely does. Direct CSV, OFX and QBO downloads are usually capped at a recent window, while PDF statements stay available for years, and they are the only thing left once an account is closed. Converting the PDF removes the date limit entirely.
